Products module

The Products module holds details of all products that can be ordered, e.g. birth certificates, death certificates, CD ROMs, historical manuscripts.

A Products record includes details about available products, such as:

  • Price
  • Product code

Note: As every institution is able to customise Vitalware to suit its requirements, there are many different versions of Vitalware. Even where institutions have the same modules, the tabs included in each instance of the module may be different; and even where institutions have tabs with the same name, the fields on those tabs may be different. For that reason this section only provides a general description of modules, tabs and fields.

Note: Use the Field Level Help to find a description of a field as it is used in your organisation. A field description can be added to every field, describing its specific use by your institution.

Tab Description

Details

Records details about a product.

The Products module holds details about products for purchase through the Point of Sale (POS) module. Registry products include:

  • Standard Birth, Death or Marriage Certificates
  • Commemorative Birth, Death or Marriage Certificates
  • Change of Name
  • Birth, Death or Marriage Maintenance
  • Early Church Records
  • Express Post Fee
  • Family History Search Fee
  • Pioneer Series CD-ROM

This example is for a standard Birth Certificate:

Note: Only products recorded in the Products module can be purchased through the POS module.

The main fields are:

Field

Description

Type: (Product Details)

The type of product being ordered, e.g. Certificate, Maintenance, CD-ROM.

Maint. Type: (Product Details)

Where a product type is Maintenance, this field describes the type of maintenance, e.g. Change of Name, Maintenance.

Status: (Product Details)

Whether the product is Available or Unavailable.

Code: (Product Details)

The code for the product being ordered, e.g. BC for Birth Certificate, CN for Change of Name.

Enter the code in the POS module (in the Product: (Product Details) field) as a shortcut for product selection.

Free Code: (Product Details)

This is the code for another product that is supplied free of charge whenever this product is ordered.

For example, a standard Birth Certificate is always supplied free of charge with a Commemorative Birth Certificate. In this case the code for the standard Birth Certificate (BC) is entered into the Free Code: (Product Details) field in the Commemorative Certificate product record.

Joint Code: (Product Details)

This is the code for a second product that is always supplied when the first product is ordered.

For example, if a Supporting Booklet is always supplied when a Pioneer Series CD-ROM is ordered, the code for the booklet is entered into the Joint Code: (Product Details) field for the Pioneer Series CD-ROM product record. The customer is billed for both products.

Price: (Product Details)

The price of the product.

GST: (Product Details)

Percentage of GST charged on the product.

Name: (Product Details)

Name of the product, e.g. Birth Certificate, Change of Name.

Receipt Text: (Product Details)

Text that displays on the receipt.

Description: (Product Details)

Description of the product.

Database Details

Database (if any) that is linked to the product, e.g. Birth Certificates are linked to the ebirths database.
